Data Management

Cablecall offers database development, data input and data management services. At the start of all new activity a unique database is developed for internal use to ensure each client’s data is handled according to their requirements. This includes dedicated front-end screens, masks and macros to ensure consistency of data input throughout the duration of a contract. This is particularly important when returning enhanced data for import into existing contact management applications.

Cablecall’s objective when handling client’s data is to make their life as easy as possible. Therefore we request electronic copy in which ever format it is easiest for clients’ to download. The data is then converted into Microsoft Access for internal use, but will be reconverted back to its original format for ease of import.

From the outset Cablecall will agree in detail the current and future requirements of the data gathered during Fact Find and Marketing activities. It is usual for us to be involved in discussions with in-house MIS teams and applications suppliers to ensure that the integrity of the data is maintained. On receipt of original data Cablecall builds a database application, adding a series of contact history and additional information fields in accordance with the rules laid down by the client. All new data, including additional records supplied by the client, is then appended into the agreed database structure.

All data provided by clients and information about their customer/prospect base remains confidential and is not passed on to any third party. Cablecall maintains three copies of the data at all times - one working copy, one mirror copy on-site for instance access and one backup copy off-site. All servers and work stations are virus protected using a combination of software from Norton, McAfee and IBM.

Data Input
The culture of Cablecall is to divide tasks between specialists. Therefore our call operators concentrate on dealing with customers and prospects while our data people input the information gathered. The only current divergence from this philosophy is with in-bound call handling and contract completion activity.

Normally the call operators are provided with a hard copy worksheet on which they write all changes to the data and a code for the response they received from each contact attempt. The worksheets are then passed to the data inputters who append the information to the database. Following input all work is double-checked both manually and automatically before being passed to the client.
With inbound calls and contract completion the call operators input all the relevant information onto a database constructed for the purpose. This allows the production of personalised covering letters and the import of details into the ACD’s database.
